The apartment move-out checklist that gets the deposit back

Notice, the walkthrough, the furniture that is not coming, and the last hour in the empty apartment. Written for Albany renters.

To move out of an apartment cleanly: give notice in writing on the lease's schedule, book the elevator if the building has one, ask for a pre-move-out inspection, move everything out, clean, photograph every room empty, hand back every key, and confirm your forwarding address in writing. In New York the landlord has a deadline to return the deposit with an itemized list.

Notice, and the date on the lease

The lease says how much notice it wants and how it wants it. Give it that way, in writing, and keep the copy. Most Albany leases end on the last day of a month, which is why the last three days of every month are the hardest to book a mover for and why the next tenant is often standing in the hallway with their own boxes on the first.

If the dates give you no overlap at all, the move-out day and the move-in day are the same day, and that is the single most common reason a move runs late. A day of overlap, even at the cost of a day's rent, is usually the cheapest thing you can buy.

The building's own rules

A managed building downtown or one of the newer ones along the river will have a moving procedure: an elevator to reserve, hours when moves are allowed, a loading area, and often a certificate of insurance from your mover before the crew is let in. Ask the management office for all of it in writing at the same time as you give notice, because the certificate takes the longest and the elevator gets booked.

A walk-up in Center Square or a two-family in Pine Hills with the landlord upstairs has none of that, but the landlord may still want to know when the truck is coming, and the neighbors on a narrow street will want to know where it is parking. Tell them.

Ask for the inspection

New York's tenant rules give you the right to ask for an inspection before you move out, with the landlord telling you in advance what they would deduct for, so that you have a chance to fix it. Very few tenants ask. Ask. Walk it with them, take notes, and photograph anything they point at.

The furniture that is not coming

Every apartment move produces a pile: the sofa that will not fit the new place, the mattress, the bookcase that was left by the tenant before you. Deal with it before the day. Left in the apartment, it is a deduction from the deposit. Left on the curb, it is a fine, because the city's bulk pickup runs on a schedule and a sofa on the sidewalk the wrong week stays there with your address on it.

The last hour in the empty apartment

  1. Walk every room empty, and open every cupboard, drawer and closet. Something is always in one.
  2. Clean to the standard the lease describes, which is usually broom clean plus the kitchen and bathroom properly done.
  3. Photograph every room, every wall, the inside of the fridge and the oven, with the date visible somewhere.
  4. Take meter readings if the utilities were in your name, and close the accounts as of today.
  5. Turn the heat down rather than off in winter; the landlord will thank you and the pipes will not burst.
  6. Hand back every key, including the mailbox and the basement, and get a receipt or an email that says how many.
  7. Confirm your forwarding address in writing. The deposit cannot come back to an address the landlord does not have.

The Albany specifics

If the street is in one of the city's residential permit zones, the truck needs a plan; find out what the city wants before the day. Purpose-built student buildings near the uptown campus run their own checkout procedures at the end of a lease, often with a booked slot, and they enforce them. And in any of the older buildings, measure the stairwell turn before assuming the sofa that came in will go out; some came in through a window.
